How to Prepare SharePoint and Drive for AI Search

Lara Ramirez

Two source collections feed a shared retrieval index.

Pilot with a bounded collection of approved folders. Give each source an owner, confirm which users may see it, and document how changes reach the index. Test a permission removal and a withdrawn file before adding more repositories.

Select a Bounded Source Collection

Start with folders or libraries that have named content owners and known users. Identify authoritative versions, obsolete copies, and sensitive exceptions before indexing.

Similar filenames can conceal different authority. A collection might contain a signed policy, a working draft, an old attachment, and a staff summary that all discuss the same subject. Decide which record governs current answers before indexing the collection. Historical material may still be useful for explicitly historical questions, so the choice is not necessarily to delete it. The important distinction is whether the assistant can identify the document’s status and applicable period rather than treating every accessible copy as equally current and authoritative.

Preserve Source and Access Metadata

Record stable identifiers, locations, version context, and the access model needed by the application. Do not assume an exported document carries all the original repository’s permissions.

Design and Monitor Incremental Updates

Use the provider’s supported change mechanisms and handle their resource-specific behavior. Define recovery from missed or invalid synchronization state and a visible last-successful-update record.

Test Permission and Content Changes

Verify a new file, a changed policy, an access removal, and a withdrawn file. Repeat the tests as the actual requesting users.

Example: Move a test document out of an approved collection and revoke one user’s access. Check both search results and previously generated source links.

Discuss the implementation scope with Sprinklenet. A useful starting point: a source-preparation and refresh design for a selected SharePoint or Drive collection.
